Key School Policies and Information
The following section summarises some of the key school policies and requirements that apply to all pupils and families attending The Greek Academy. It is intended to highlight the most important information at the point of registration. Full versions of the school's policies are available on request and/or via The Greek Academy website.
1. Photography and Promotional Use
The Greek Academy regularly takes photographs and videos during lessons, performances, school events and other activities for use in school brochures, newsletters, the school website, social media platforms, magazines and other promotional material promoting the school and its activities.
Unless the school receives written notification to the contrary, parents/guardians are deemed to consent to photographs and videos of their child being used for these purposes.
Parents/guardians may withdraw their consent at any time by notifying the school in writing. Any withdrawal of consent will apply to future publications and promotional material and will not apply retrospectively to material already published.
2. Attendance Expectations
Regular attendance is essential to ensure pupils receive the full benefit of the educational programme and maintain continuity in their learning.
In addition to attending weekly lessons, pupils are expected to participate in key school events, including end-of-term yiortes (celebrations), performances and the Annual Dinner & Dance.
These events form an important part of the school's educational, cultural and community life, helping pupils develop a sense of belonging, confidence and pride in their Greek heritage.
Non-attendance, particularly where little or no notice is given, can significantly affect lesson planning, rehearsals and the experience of other pupils.
Parents/guardians are therefore expected to make every reasonable effort to ensure their child attends regularly and to notify the school in writing as early as possible if an unavoidable absence arises.
3. Mobile Phone Policy
To maintain a safe, focused and respectful learning environment, pupils must not use or remove mobile phones at any time during the school session.
Where a pupil brings a mobile phone to school, it must remain switched off and securely stored in their school bag throughout the entire school session.
Mobile phones must not be used during lessons, break times, transitions between classes, performances or any other school activity unless expressly authorised by a member of staff in exceptional circumstances.
The use of a mobile phone to photograph, video record or audio record any pupil, member of staff, volunteer or school activity without the prior permission of the school is strictly prohibited and will be treated as a serious breach of the school's Behaviour Policy.
Any pupil found using or removing a mobile phone during the school session may have the device confiscated. Confiscated devices will normally be returned to a parent/guardian at the end of the session or at another time determined by the school.
Serious or repeated breaches of this policy may result in further disciplinary action in accordance with the school's Behaviour Policy.
4. Behaviour and Respect
Pupils, parents/guardians and visitors are expected to treat teachers, staff, volunteers and fellow pupils with courtesy, respect and dignity at all times.
The Greek Academy reserves the right to take appropriate disciplinary action where behaviour falls below the standards expected by the school.
Depending on the seriousness of the matter, this may include:
- A verbal warning.
- A written warning.
- A Behaviour Agreement.
- Temporary suspension.
- Withdrawal of the pupil's place at the school.
Abusive, threatening, intimidating, discriminatory or otherwise unacceptable behaviour towards any member of the school community, whether in person, in writing or through electronic communications, will not be tolerated and may result in disciplinary action or the withdrawal of a pupil's place at the school.
5. Collection and Punctuality
Parents/guardians are responsible for ensuring that pupils arrive and are collected promptly at the published start and finish times.
Where a pupil is to be collected by another authorised adult, the school must be informed in advance.
If a parent/guardian is unexpectedly delayed, the school should be contacted as soon as reasonably possible.
Repeated late collection may result in the Committee reviewing the pupil's continued place at the school.
6. Medical Information and Medication
Parents/guardians must provide accurate and up-to-date information regarding any medical conditions, allergies, Special Educational Needs and Disabilities (SEND), emergency medication or other welfare matters affecting their child whilst attending The Greek Academy.
Any medication required during school hours must be discussed with the school in advance and supplied in accordance with the school's procedures.
Parents/guardians are responsible for notifying the school promptly of any changes to medical or welfare information throughout the academic year.
7. School Policies
Parents/guardians agree to comply with the school's current policies, including (but not limited to):

The Committee reserves the right to review and amend school policies from time to time. Any significant changes will be communicated to parents/guardians.
8. Data Protection
The Greek Academy will use the information provided on this registration form for the purposes of pupil enrolment, education, safeguarding, welfare, communication, administration and fee collection.
Personal information will be processed in accordance with applicable UK data protection legislation and will only be accessed by authorised persons who require the information to fulfil their responsibilities.
Medical, allergy, medication and SEND information may be shared with relevant teachers, first aiders and authorised volunteers where necessary to safeguard the welfare of the pupil.

9. Changes to Information
Parents/guardians must notify The Greek Academy promptly of any changes to:
- Home address
- Telephone numbers
- Email addresses
- Emergency contacts
- Collection arrangements
- Medical conditions
- Allergies
- Medication
- SEND information
It is the parent/guardian's responsibility to ensure that the school always holds accurate and up-to-date information.
10. Accuracy of Information
The parent/guardian confirms that all information provided on this registration form is true, complete and accurate to the best of their knowledge.
The Greek Academy is entitled to rely upon the information supplied when making decisions relating to the pupil's education, welfare and safeguarding.
Knowingly providing false or misleading information, or failing to disclose information that may affect the welfare, safeguarding or education of a pupil, may result in the Committee reviewing or withdrawing the pupil's place at the school.
